Budget decision

When free works — and when it doesn't.

Free MTD software exists and works well — but only for specific situations. Here is the honest assessment.

✅ Free is enough if you have:

  • One bank account and simple income
  • No employees and no stock
  • Straightforward VAT or Income Tax obligations
  • A qualifying NatWest / Mettle / RBS account (for FreeAgent)
  • Time to maintain manual processes where automation is limited

⚠️ The hidden cost of free: the "free forever" myth

Free software tiers typically limit transactions, bank connections, or users. If your business grows mid-year, you may face a rushed migration. Spending 2 hours per month preparing spreadsheets for free bridging software costs £50–£100 of your time — often more than a £16/month subscription that automates the same work. See our full Free vs Paid guide for the complete breakdown.

Common questions

MTD software FAQs — your questions answered.

What is the best MTD software for sole traders?
For most UK sole traders, FreeAgent (free with NatWest, RBS or Mettle) offers the best value — it is purpose-built for UK freelancers, handles both MTD VAT and Income Tax, and includes a tax timeline and Self Assessment filing. If you need CIS, Sage or QuickBooks handle this better. For gig workers, Coconut auto-categorises platform income uniquely well. See the decision matrix above for situation-specific picks.
Is FreeAgent really free?
Yes — FreeAgent is completely free for business account holders at NatWest, Royal Bank of Scotland, Mettle (NatWest's free business account app), and Ulster Bank. Mettle itself is a free business bank account, so opening a Mettle account gives you free FreeAgent without committing to NatWest's traditional banking. Outside these banks, FreeAgent costs £190/year or £19/month, with a 30-day free trial available.
Has QuickBooks increased its prices recently?
Yes — QuickBooks raised UK prices across all plans in January 2026. The Plus plan increased from £34 to £50/month — a 47% rise. Simple Start, Essentials, and Advanced all increased by approximately 17%. The Sole Trader plan at £10/month remains the most affordable entry point. Existing customers were not grandfathered into old pricing. If cost is your primary concern, FreeAgent (free via NatWest/Mettle) or Pandle (£5/month) are alternatives.
Which MTD software handles CIS best?
Sage has the most mature Construction Industry Scheme (CIS) handling of any platform — gross and net invoicing, CIS deduction certificates, monthly CIS returns, and contractor/subcontractor views are all handled natively. Xero and QuickBooks also support CIS, but Sage's implementation is typically more complete for larger construction businesses. FreeAgent handles basic CIS deductions but is less suited to complex contractor structures.
Can I use bridging software for MTD Income Tax?
Bridging software is HMRC-recognised for MTD Income Tax as well as VAT. However, MTD Income Tax requires quarterly digital records of income and expenses at a transaction level — not just nine-box totals as with VAT. Many bridging tools (like VitalTax) are extending their Income Tax features, but most accountants recommend a cloud platform for ITSA given the more detailed quarterly reporting requirements. Check with your bridging provider whether they support ITSA quarterly updates before April 2026.
Which software has the best bank feeds in the UK?
Xero and QuickBooks have the widest bank feed coverage in the UK, including all major high street banks and challengers (Monzo, Starling, Tide, Mettle, Revolut Business). FreeAgent has good coverage of common UK banks. Sage has solid coverage of traditional banks. Pandle and Coconut have narrower bank feed ranges. Before choosing, check that your specific bank is supported by the platform — direct feeds (Open Banking) are more reliable than screen-scraped connections.
Is there an MTD software specifically for landlords?
Yes. Hammock is a specialist MTD platform built specifically for landlords and property investors. It tracks rental income per property, handles tenant management, and is HMRC-recognised for MTD Income Tax property submissions. For landlords with a trade alongside property income, FreeAgent or Xero offer the flexibility to handle both streams in one platform. For pure property portfolios, Hammock's focus is unmatched.
How do I switch from one MTD platform to another?
Switch at a quarter end or tax year end to minimise complexity. Export your data from the old platform (chart of accounts, transaction history, VAT return history). Enter opening balances in the new platform — your accountant can help reconcile these. Ensure your HMRC MTD VAT or ITSA connection is re-authorised through the new software. Most switches take 1–3 days of focused work. The main risk is a period where neither system is fully configured — do not switch mid-quarter without accounting support.
